Understanding Trackor Chats

 

A Trackor Chat is a time-stamped conversation thread associated with a particular Trackor. The chat panel displays the conversation between all commenters and provides access to any related chats in one place.

Opening a Trackor Chat

Users can access the Trackor Chats of a Trackor by selecting the record and clicking on the Chat icon displayed in the lower right corner of a grid or upper right corner of a form.

Clicking the Chat icon opens the Trackor Chat panel.

In the header of the chat, you will see the name of the Trackor Type and the key field identifying the Trackor for the chat with the number of messages in the thread.

 

 

Making a Chat Entry

Once a chat is open, you can add to the chat by typing in the message dialogue box. You can also include a file by clicking the paperclip icon and selecting the file to add to the chat. Once you’ve added everything you want to add, click the gray arrow to add the entry.

If you need to move away from a started chat, the unsent chat will be saved in local storage and be available when you return. Any started text, @mentions, quotes, and files in the started chat message will remain. Keep in mind that this unsent message feature is limited by the size of the local browser database, so, for example, very large video files may not be saved.

@Mentions

To notify a user in the system within Chat, type @ with the username directly beside it (@username). The user will be notified through email when they are mentioned in a chat - even if not subscribed to the thread.

The system-generated notification will have the content of the chat including “You were mentioned” and a link to the Trackor. Here is a sample notification:

 

You can paste a URL from a browser or by using the Copy URL or Copy as Link options (when right clicking a hyperlink field in a Grid) into a chat message.

 

Quoting Text

You can take text from a chat message and quote it as part of your message back. Select the text to quote and click the quote mark. The selected text displays as part of the next message.

Adding Emojis

Users can enhance their chat messages by adding emojis. When the emoji picker is open, a Recent section displays the most commonly used emojis, and a scrollbar allows access to many other choices.

 

Adding Reaction Emojis

For quick responses to chat messages, users can add reaction emojis to messages. Options include thumbs up, thumbs down, clapping, stop, and check mark as shown below.

 

 

To add a chat reaction:

  1. Move the mouse over the chat message.

  1. Click on the Thumbs Up icon.

  1. Select the reaction you want.

 

To delete the reaction, click the added reaction.

To see the author of the reaction, move the mouse over the reaction emoji.

Unread Messages Label

When you open a chat thread with unread messages, you will see an Unread Messages Label indicating the number of unread messages positioned before the first unread message. When all of the messages in a chat have been read, the Unread Messages Label disappears.

 

Displaying Chat Icon in the Grid

Users can choose to display Chat icons in the grid for Trackors that have associated chats so that at a quick glance the user knows if a chat exists. This setting is a part of User Settings. See Grid Tab on the Configuring User Settings page.

 

There is also a UserDefaultShowUserChatStateInGrid Tenant Parameter that can be set by the Administrator to display the Chat icon in the grid.

 

Subscribing to a Chat

At the top of the Chat panel is a Subscribe option. When you click Subscribe, you will be added to the subscribers for this particular chat; however, you must also Activate the associated Notification in your User Settings (this may happen automatically due to Notification setup). See Receiving Notifications when a Chat Message is Added.

Subscribers that have also activated the Notification will be notified by an email when they are subscribed to a chat and will receive an email when comments are added to the chat.

 

Managing Chat Subscribers

Beside the Subscribe option, is the icon to click to manage the subscribers to a particular chat. Here you can switch users on/off the subscription list.

 


Administration of Trackor Chats

Enable Chats for Trackor Types

Administrators must enable Chats for Trackor Types in order for the Chat icon to appear for a Trackor Browser grid or form. This is controlled by the Enable Chat checkbox when adding or editing a Trackor Type.

 

Receiving Notifications when a Chat Message is Added

Once Chat is enabled for a Trackor Type, the system auto-generates a Notification with the type Chat Message Added. The name of the Notification will be the Trackor Type Name followed by “Comment Added.” The Administrator can then edit the Notification and make any necessary changes including assigning the security roles to the Notification. Then (unless the Administrator selected Auto Activate for Subscribed Users?), the users need to activate the Notification in their User Settings (see Notifications Tab) AND subscribe to the chat for the Trackor. See Subscribing to a Chat.

 

Chat-Related Security Groups

CHAT_MESSAGE - Allows users the ability to Read/Add conversation threads - seeing the Trackor Chat Panel and adding chats in the Trackor Chat panel is managed by this security group,

CHAT_SUBSCRIPTION - Allows users the ability to see the list of subscribers and add/remove subscribers. Users will always be able to self-subscribe

ADMIN_CHAT_MESSAGE -Gives administrator-level access to 'Admin Chat' page to edit, delete chat records.

USER_SELECTOR - Allows users the ability to see other users in 'Subscribe' panel. This privilege is needed to be able to use mentions in Chat messages as well.

 

Working with the Chat Messages Page

The Chat Messages page lists all of the chats in the system. The Administrator can Edit, Delete, and Export chat messages from this page.

Deleting Chat Messages

To delete a chat message:

  1. Access the Chat Messages page.

  2. Find and select the chat to delete.

  3. Click Delete. The message will remain in the system with a status of Deleted until it is purged. See note below.

 

Use the procedure util.DeleteChatMessage to change the chat message status to Deleted.

The system parameter DeletedChatMessagePurgePeriod represents the number of months after which deleted chat messages will be completely removed from the system. A zero setting would mean the system will not purge the messages. The default for this parameter is two months.

When a user deletes a Trackor, any related Chats will have the Deleted status. If the Trackor is recovered, the related Chats will be recovered unless they were purged.
