Exporting Trackor Grid Data

Users can easily export the data displayed in the Trackor Browser Grid to a .CSV or an XLS, as well as export E-Files. In order to access the E-File fields, it may be necessary to click the Show Trackors icon.

Users can run an Export, manage Export history, and view recent Exports by clicking the Ellipsis, located on the right side of the Command Bar. Clicking the Ellipsis reveals the following Drop Down options.

 

The maximum number of E-Files that can be downloaded is set by the system administrator.  This is controlled by the Tenant Parameter MaxDownloadFilesCnt.

If a user attempts to download more than the maximum, an error message will appear. Contact the administrator or reduce the record count of the application grid to be equal to or below the number of E-Files allowed to be downloaded.

Rollup and Number Fields in EXCEL export must be Number data type instead of General.



Running the Export


To create an export, click "Run Export" from the drop-down menu and the Run Export Applet will pop-up. Once complete with selecting the Export Mode and the Delivery method, click "Run Export".  Comments are optional.

E-File Field

Appears when Grid E-Files to ZIP export option is selected. Contains all columns of E-File Fields.

Comments

Allows for additional comments regarding the Export.



The entire contents of the Trackor Browser Grid or selected column, including any Trackors selected but not displayed, will be exported to the file.


"N/A" option of "Show NA'ed Task Dates As" selector is available. Must be attached to an existing workplan.

 

 

Exporting Colors

Excel Exports and TB Grid Reports will show the same cell colors as in the Grids.

Export Modes

The following are examples of each type of Export Mode. The Export Types tab is found on the User Trackor Browser page to assign users individually or the Admin Security Role form to assign to security roles. 

 



Grid to CSV

Users may choose the Grid to CSV export mode.  This will export the trackor browser data into a .csv file. 

 



 

Grid to Excel / Grid to Excel with submit

Users may choose one of the Grid to Excel export modes. This exports the Trackor browser data into an .xlsx file. Excel grid export includes hyperlinks and color if the unique entities (Trackor or Task) amount is less than the "MaxPKCountForCellDecor" System Parameter value. This parameter is hardcoded with a limit of 5000 PKs.

 

 

When a user exports to an Excel file from a user page, the file will include two spreadsheets. The first one is titled Export Data which includes all of the exported data.

The second one is titled Source Details and it includes detailed information about the source of the export.

 

 

The export type Grid to Excel with submit allows users to easily create an Excel submit type report from a Trackor Browser grid without running a report. An Excel file is generated just like it is for the TB Grid with submit report. In the Excel file, users can submit changes to the Trackor Browser grid by using the Submit Export Data, Submit Selected Data and (if checked in export) Submit Async buttons just like with the TB Grid with submit report. Show NA’ed Task Dates As

Select what should display in the Excel file cell if the Task value is N/A instead of a date:

Blank - the cell will be blank.

Task Date – the cell will show whatever underlying date there is "underneath" the N/A, if any.

Static Date - the user can select a date to appear, such as 1/1/2000. Some date that is obviously not real, but denotes N/A.

N/A - the letters "N/A" will literally appear in the cell.

Support async submit

Clicking the checkbox provides the Submit Async button option in the Excel file. (See note below regarding the Import your system will need for this feature.)
Note:  If you choose this option for your submit, you will not see any error messages in the Excel file. Rather, any errors will show in the resulting Import file. Leaving the checkbox unchecked means your options to submit default to Sync mode so the Excel file will either show a successful record update or not submit records with errors.

Add any comments for the export.

 

 

 

Grid E-Files to ZIP

Users will now be able to Export Multi-EFile fields on the Trackor Browser and E-File Browser pages. This feature is available when using the "Grid E-Files to ZIP" Export mode.

How It Works:

  1. Select Export from the Command Bar

  2. Choose “Grid E-Files to ZIP Export Mode

  3. Choose the Delivery Method (File or Email)

  4. Choose the E-File field

 

These Exports may also be emailed. Here is an example of the email notification with the link to download the files.

Grid to JSON

Users may choose the Grid to JSON export mode. This will export the trackor browser data into a JSON file.

 

Grid to CSV (API compatible)



Users may choose the Grid to CSV which is API Compatible. This will export the trackor browser data into a .csv file. 

Grid to CSV (API compatible) produces a CSV with headings that are in the same format as the API expects and XitorConfiguredFieldLoad.   It also has trackor_id for all trackor types represented in grid for more efficient API calls.







Users may use the dropdown menu beside their username to locate the API Documents. Users may also refer to the API Documentation..






Delivery Methods

When the Export file is ready, the timer will stop and a hyperlink will be provided. If the user chooses the E-Mail delivery, there will be no hyperlink and the user will receive the email shortly.



Events Notification Applet

As Export is processing, the Events Notification Applet will open in the upper-right corner of the Header. This Applet will dynamically update with the current status of the export.

The Event Notification Applet allows users to view notifications for Report, Import, and Export processes that were scheduled by them (where the user is the Owner).  You may view notifications by clicking on the Events Notification Icon

 

 

Exporting Comments

Field Comments export from Trackor Browser grid to Excel is now implemented. Users can view them as old-style cell comments in old Excel versions or as "threaded comments" in Office365/OneDrive.

 

 

Accessing Export History

Users can access the Export history by selecting Export History from the Events Notification Panel.  Users can also download the file.


Editing The Export History

Users can edit the Export History by clicking either the "Process ID" hyperlink, the "Status" hyperlink, or by highlighting the Trackor in the Trackor Browser Grid and clicking the Edit Icon.

Deleting Export History

Users may delete export history by clicking the Delete Icon.

Deleting an export permanently removes it from the OneVizion system.



Accessing Recent Exports

Users may access any recent export by selecting the ‘Export History' button from the ellipsis menu. When a user clicks on the file, options for open or save to your local computer are available. The file will open in Excel format.

Grant users permission to export types on the Export Type tab.
