Adding, Editing, and Deleting Trackor® Records

 

Before diving into the details for managing Trackor records, let’s review what we mean by Trackor record. In the Vizion Platform, a Trackor Record is a unique data record for a Trackor Type. For example, if a Trackor Type is “Search Ring,” the individual records for the Trackor Type are Search Rings identified by the Search Ring ID (key field). In the example below, ATL0001 is the key field for the Search Ring Trackor record and is a hyperlink to the Trackor record details.

Upon opening a Trackor Browser page, the first Trackor record is automatically selected. When instructions direct you to select a Trackor record and you want a different record, click a field on the Trackor record that is not a hyperlink so that your position stays on the Trackor Browser page.

 

Adding, editing, cloning, and deleting Trackor records require permissions for the Trackor Type. If you do not have access to these functions on a specific Trackor Browser page and need them, contact your Administrator.

Access the desired Trackor Browser page.

Click Add.

The applet opens where you can add details for a new Trackor record.

The main Tab is the General or General Info Tab. This Tab contains all of the general information for that specific Trackor Type. 

There may be additional tabs to complete, but only the General tab is required to add the Trackor record.

Click Apply to save entries for each tab and click OK to save and return to the Trackor Browser page.

Sometimes after you complete the General Tab and click Apply, additional tabs display which may require additional entries.

Returning to the grid displays the new Trackor record (if it belongs with the filter settings).

 

 

When a Trackor record is added, a green dot displays beside the Trackor Record ID in the Trackor Browser Grid where it remains for the number of days determined by the Tenant Parameter (#70 DaysTrackorNew) setting.

 

 

 

Cloning a Trackor Record

The option to clone a Trackor Record is not available on every Trackor Browser page. To add a Trackor record, users can copy, or "clone," an existing record by selecting it in the grid and clicking Clone

 

 

The Add Trackor Applet will open with the same tabs and entries as the original Trackor record. Users can edit as needed before saving the new Trackor record.

 

 

Editing a Trackor Record

There are several ways to edit a Trackor record. Users can either:

  • Access the General tab for the Trackor record by clicking the Trackor ID hyperlink (use Ctrl + Click to open in a new browser tab)or selecting the Trackor record in the grid and clicking Edit - make changes and click Apply or OK.

  • Enter changes directly in the grid cell - the Save Changes button displays as shown below. You then have the option to click the undo icon or redo icon to undo or redo the changes.

  • Use Row Editor (See Using the Row Editor below)

 

Using the Row Editor

The Row Editor is a useful feature when users need to update similar data for many (or all) Trackor records in a grid. It provides a form-type display of chosen fields from the view, and the user can click forward and backward through the rows of the grid in the form format.

Users access the Row Editor by selecting the Trackor record in the grid and clicking Row Editor.

 

Here the user makes any edits. Click Save/Apply and the navigation arrow to move to the next Trackor record or click OK to return to the grid.

 

Administrators can change the fields and layout of the Row Editor. See Changing the Row Editor on the Working with Views page.

Also, the Row Editor can access only the number of rows displayed in the grid. If the rows exceed a single page on the grid, you must close the Row Editor, move to the next page of the grid, and then reopen the Row Editor to continue your edits.

Deleting a Trackor Record

Deleting a Trackor record must be done with extreme caution. Privileges to delete should be restricted to a limited number of users.

When deleting a Trackor, be sure that you are highlighting a Trackor based on the Trackor Type for the page. If children to that Trackor Type are included in the View, all children will be deleted, not just the highlighted Trackor.

 

To delete a Trackor record, select it in the grid and click Delete.

 

A warning message appears for the user to confirm the delete action. 

 

Recovering an erroneously deleted Trackor Record is not a simple process.
