Trackor® Types

 

Trackor Types in the Vizion Platform are primarily used for organizing an unlimited number of fields into logical groups representing a business process, people group, or object. Think of them as highly customizable containers that represent the structure of the organization's business.

In the Vizion Platform, the relationship between Trackor Types creates the Trackor Tree which represents a system’s content hierarchy. The Trackor Types and the Trackor Tree are the basis of any Vizion Platform system and considerations for both are addressed during the planning phase of a new system implementation. Viewing a System’s Trackor Types

To see the list of Trackor Types in a system, access the Trackor Types Administrator page by navigating to Dev Center > Design Applications > Trackor Types.

Adding a new Trackor Type

When an organization needs to add a new Trackor Type to their system, complete the steps below.

Access the Trackor Types page: Dev Center > Design Applications > Trackor Types.

Click Add.

Complete the Trackor Type Label field with the name you want for your Trackor Type. All of the required fields autopopulate based on your entry. You can make any needed changes to the autopopulated fields. Complete the other fields for the General tab as needed. See Trackor Type - General Tab for field information.

If you want the system to generate the Key Trackor ID for the Trackors associated with this Trackor Type, click the Key Generation tab and complete the necessary fields. See Key Generation Tab for field information. Otherwise, whenever a new record (Trackor) is added, the user must manually enter the Key Trackor ID field with a unique identifier.

If you clicked Enable Chat on the General tab, the Chat Messages Notification tab displays. Click this tab to make any changes to the notification. See Chat Messages Notification Tab.

Consider the remaining tabs especially Role Privs to assign security privileges. See Trackor Type - Other Tabs.

Click OK. The Trackor Types page displays with the new Trackor Type listed.

You must add a Trackor Type as a relation to the Trackor Tree for it to be available for use in the system. See Understanding the Trackor Tree.

 

 

 

Trackor Type - General Tab

Trackor Label*

The unique name of the Trackor Type seen by the user.

Trackor Type Name*

The name of the Trackor Type used by the database.

“Item ID” Label*

The field label for the Key Trackor ID for the Trackor Type. This label displays as a column heading on the Trackor Browser grid.

“Class” Label

The field label for the Trackor Classes for a Trackor Type.

For example, for a Trackor Type of "Candidate" can belong to either the "Primary" or "Back-Up" classes to represent the Primary Candidate and Back-Up Candidate(s).

Prefix Label*

The unique prefix for the Trackor Type. The value entered in this field is displayed as a prefix next to the Field Label throughout the system to allow users to identify the Trackor Type the field is associated with. The prefix should be short (1-4 characters), descriptive (for example, ‘S' for Site or 'C’ for Candidate), capitalized (AREA), and followed by a colon (:). 

“My Items” Label*

The label of the “My” checkbox in the Filter form corresponding to the Trackor Type. This checkbox is used to filter items associated with a specific user.

Alias Field

The field to be appended in parenthesis to the Key Trackor ID to add supplementary information when the ID is a number or hard to identify.
For example, the Alias could display a vendor name beside the vendor ID number, making it easier to identify the vendor. 000123 (Samuel Smith)

Limit of Active WPs
(Workplans)

Options Include:

  • No Limits:
    Add any amount of Workplans to a record (Trackor) of the Trackor Type.
    If this option is set, the users won’t be able to add tasks to forms or to the Trackor Browser Grid.

  • Single-Active WP of the same Template:

    Allows to have 2 Workplans on a record (Trackor) of the Trackor Type of the same template as long as one of them is inactive.
    Users will be able to add tasks to tabs and views. It can have multiple active Workplans as long as they are from different templates.

  • Single-Active WP:
    Same as Single-Active WP of the same Template except for only one Workplan.

The “Limit of Active WPs” Trackor Type option can be changed at any time; however, if there are many active Workplan instances assigned to a single record (Trackor), users may experience issues. There is no check or validation that takes place when this option is changed, so you can select ‘Single Active WP’ even if there are records (Trackors) that currently have more than one active Workplan.

You can always add/drop WP Task Date to a config tab independent of the value of the "Limit of Active WP's" option.

The task date value is always displayed on the Config Form if there is only a single active Workplan instance per Workplan template.

The Vizion Platform will not show the value of such tasks if there are more than one active Workplan instances per Workplan template.

The "Limit of Active WP's" option is still applied if users or administrators add new Workplan instances.

PL/SQL ID Reference

Displays the "Out Of Sync" message if the "PL/SQL ID Reference" string is invalid or not generated yet.

Is Cloning Allowed?

Determines whether the records (Trackors) of this Trackor Type can be cloned.
Cloning enables quick creation of many similar records (Trackors) with only minor differences.

Can be a Template

Determines whether this Trackor Type can utilize templates to prefill certain fields based on the template during record creation.
If “Can be a template” is checked, the following applies:

  • When adding a new record (Trackor) for a Trackor Type with “Can be a template” checked, users have the option to select from a list of templates OR create a template. Created templates are then part of the list of templates for subsequent record (Trackor) creation.

  • General users are restricted from creating or editing templates by the Trackor_Template security group.

  • “Checklist Template” dropdown and the “Show Templates” checkbox are added to the bottom of the Trackor Browser filter.

Is OneVizion® User?

Indicates whether this Trackor Type is a User Trackor Type.
If this box is checked, the Trackor Type can track details for a particular user group.

For example, an organization may want to track different information for Users as opposed to Vendors and so would create separate Trackor Types and check this checkbox to indicate they are each a User Trackor Type.

Is E-File Container?

Indicates whether the Trackor Type is designed to store E-Files.
When this box is checked, the Bulk File Upload Icon becomes available on the Trackor Browser page.

Enable Chat

Enables/disables Trackor Chats for each Trackor Type.

If chat is disabled, the chat icon will not display on the Trackor Browser page for the Trackor Type. If chat is enabled, the chat icon will display on the Trackor Browser page for the Trackor Type and the Chat Messages Notification tab will display on this applet.

 

Key Generation Tab

The Key Generation Tab allows users to automate the generation of the Key Trackor ID when adding a Trackor Record.

  • If the user DOES NOT check the “Generate Key Automatically” box, they MUST enter a unique ID manually every time a new instance of this Trackor Type is created.

  • If the user DOES check the “Generate Key Automatically” box AND enters a number only in the Start At box (leaving the bottom section BLANK), the key will be generated automatically with the entered number as the starting key ID.

  • If the user DOES check the “Generate Key Automatically” box AND fills in anything in the bottom section (String Prefix 1/String Prefix 2/String Prefix 3 Static Text/Numeric Suffix), the key will be automatically generated based on the concatenation set up in the bottom section. “String Prefix” values are useful for containing references to parent trackor types.

  • Fields used in Trackor Key generation appear as required when adding a new Trackor.

Generate Key Automatically

When checked, the system will automatically generate the Trackor ID (“Item ID” Label field on the General tab) based on the settings in the fields below the gray delimiter. If unchecked, the “Item ID” Label field will be a text field to be populated by the user.

Start At

User-defined field determining the number that the system will start generating the Key ID with, e.g., 0.

Trackor Type

Specifies the Parent Trackor Type. The desired Trackor Type must exist in the Trackor Tree (i.e. the Parent/Child relationship must be established) before it can be entered in this field.

Field Name

Specifies the Field Label and data type for the Field.

Delimiter

Defines the delimiter that will separate the string prefixes and the numeric suffix. This is a text box one symbol in length. Users can use any symbol except "|" and "/".

Static Text

Determines the tooltip that will appear on trackor key mouseover.

Numeric Suffix

Defines the numeric part of the ID.

Number of Digits

Controls how many digits the ID will have. You can select from 1 to 10 digits depending on how many Trackors will be created. If this number is set to 2, the system can create up to 99 IDs; If it’s set to 10, the system can create up to 9,999,999,999 IDs.
A system-generated unique number requires the Number of Digits field to contain a value greater than 1 and all the other fields blank.

Unique Across

Controls if and how the system will restart numbering when creating IDs.

 

Chat Messages Notification Tab

The Chat Messages Notification Tab appears when the Enable Chat checkbox is checked for the Trackor Type. Here, Administrators can edit the default notification sent when a chat occurs for a record (Trackor) associated with the selected Trackor Type. See Notifications for more information.

Users can subscribe/unsubscribe from Notifications in User Settings.

Special Command Bar Options

Creating a Default Data Import

You can create a Data Import from the Trackor Types page by selecting the Trackor that you would like to import and clicking the Create Default Data Import option. You may need to click the ellipsis to see this option.

Creating a WorkFlow Template

You can create a WorkFlow template from the Trackor Types page by selecting the Trackor to associate with the WorkFlow and clicking the Create WF Template option. You may need to click the ellipsis to see this option.

 

 

This will open the Create WF Template form.

 

Setting Up Trackor Mail

You can setup Trackor Mail for a Trackor Type from the Trackor Types page by selecting the Trackor and clicking the Trackor Mail Setup option. You may need to click the ellipsis to see this option.

 

Trackor Mail is a capability that allows specific Trackors to get created or updated when an email is received by the account configured in the Trackor Mail Setup for a Trackor Type. For example, by setting up Trackor Mail for the 'Case' Trackor Type with an email account, any email sent to this account can be configured to either “create a new Case record” or “update an existing Case record.”
